Request for Work Accommodation
Employees who are in need of an accommodation to fulfill the essential functions of their job will need to submit a formal request for accommodation as provided under the Americans with Disabilities Act:
- Step 1: Employee should review the University policy.
- Step 2: Employee must complete the Request for Accommodation Form.
- Step 3: Treating healthcare provider should complete the Medical Certification for Accommodation Request Form, if needed.
- Step 4: Return all completed forms to Candace Whaley in Human Resources for review of your request.

Even if an employee has enough paid leave accruals to cover absences, if the need for leave qualifies as FMLA leave, this policy will apply.
As stated in Mercer’s FMLA policy and in accordance with the Family and Medical Leave Act of 1993 (FMLA), as amended, Mercer University provides up to 12 workweeks of unpaid, job-protected leave to eligible employees for specified family and medical reasons during a rolling 12-month calendar or up to 26 workweeks for the care of a covered service member during a single 12-month period. The leave may be paid, unpaid or a combination of paid and unpaid leave as specified in this policy.
Employees must provide at least 30 days advance notice when the need for FMLA leave is foreseeable. When 30 days’ notice is not possible, the employee must provide notice as soon as possible.

Special Note for Supervisors
If one of your employees is absent or notifies you they will be absent for more than 3 consecutive workdays for one of the reasons listed above OR if they are missing more than 1 day/month on a recurring basis, please contact Nasana Graham in Human Resources at graham_n@mercer.edu or (478) 301-2470 as soon as possible.
Sick/Vacation Leave Balances
- For non-faculty staff and administrators, please log in to your Workday account. Please view the job aid in Canvas for information on how to find view your leave balances.
- For faculty on 12-month contracts, please log in to your Workday account to access your vacation leave balance. Please view the job aid in Canvas for information on how to find view your vacation leave balance.

Reporting Time Worked and Absences
Regular full-time and part-time employees, as outlined in the employee handbook, are either non-exempt staff, exempt staff or faculty.
- Classified, Non-exempt Staff must track all hours worked and time away from work (e.g. vacation, sick, etc) in Workday. Job aids are available to assist you with how to enter your time.
- Professional/Administrative Exempt Staff only need to track their time away from work (i.e. vacation, sick, etc.) in Workday. Job aids are available to assist you with how to enter your absences.
- Faculty who are on a 12-month contract will track vacation in Workday. A job aid is available to assist you with how to enter your vacation leave request. For other types of leave (sick, bereavement, jury duty, etc), contact the Dean’s office for the policy and guidelines on reporting this time away from work.
Non-faculty Staff employees who would like to review their position description can do so by clicking the link below. You will be required to log in with your Mercer credentials (same as used for Workday login). If updates are needed, please reach to your direct supervisor to discuss. They will initiate any needed changes to submit to HR for review.

Meal members are not just for our students! Employees can take advantage of savings by purchasing a meal membership. Meal memberships are available on both the Macon and Atlanta campuses.
Mercer has partnered with some carriers to provide employees with discounted pricing on several cellular telephone plans.
Fitness Center (Atlanta campus)
The Sheffield Gym offers employees the use of weight machines, an Olympic sized swimming pool, fitness classes and much more!
Full-time employees and their dependents have access to a fully equipped fitness center located at the University Center on the Macon campus at NO charge! Spouses and dependent children (ages 16-26) will need to have an ID made in order to access the fitness center. Any questions regarding the Fitness Center should be directed to Pam Johnston at ext. 5153 or johnston_pg@mercer.edu.
Discount tickets are available to Mercer employees for many shows and events throughout the year. Season tickets and special show packages may be purchased through payroll deduction.

School of Music Calendar of Events
The Townsend School of Music and the Robert McDuffie Center for Strings present a multitude of events throughout the year, featuring students, faculty, and guest artists. Many of these performances are free and open to the public.
Mercer Theatre typically has four major student led productions each year with student showcases and other performances at the Tattnal Square Center for the Arts or the Grand Opera House.
Subscription to the Atlanta Journal and Constitution
Through a new partnership with the Atlanta Journal-Constitution, Mercer faculty, staff and students now qualify for a complimentary, all-access premium digital subscription to AJC.com, the AJC app and ePaper. Using your Mercer e-mail address, you can activate your subscription through this link. The complimentary subscription only works with a Mercer e-mail address. If, after entering your address and password, you get a message that says “It looks like you already redeemed your access,” disregard the message. You should get a confirmation e-mail from the AJC indicating that your subscription is active. If you have any difficulties setting up your subscription, call AJC Customer Service at (404) 522-4141.
Mercer employees have access to discounted prices on computers and software from third-party companies for personal purchases. These purchases are done directly with the companies listed and not through the IT department.

Approved Driver’s List
If our position requires you to drive a university owned vehicle, rent vehicles for business travel and/or you will transporting students in your personal vehicle, you must be insurable by the University carrier. For policy information and complete an application, visit the Approved Driver Program website.
Bear Card (Employee ID)
The Bear Card serves as your official employee ID card, but that’s not all! In addition, it provides you with library privileges, access to certain areas or buildings on campus and can even be used as a form of payment at specified locations on and off campus if you have previously added funds to your card. Giving to Mercer
Private giving supports Mercer in its mission to equip students to change the world. The generosity of our alumni, faculty, staff, students, and friends grants opportunities and transforms lives. Every gift, no matter the size, makes a difference at Mercer. Whether you make a gift to The Mercer Fund, give to an online crowdfunding campaign, or give through Phonathon, there are a variety of ways employees can get involved in supporting Mercer. Employees who would like to give through payroll deduction can complete a Payroll Deduction Authorization Form.
Library Resources
The General University Libraries offer services to faculty and staff on the Atlanta and Macon campus as well as the Douglas and Henry Regional Academic Centers, while the Medical Library provides services on the Macon, Savannah and Columbus campuses.
Mail and Shipping Services
The Mail Services Centers on the Macon and Atlanta campuses provide USPS services such as First Class, Priority, Express, International (air only), Insured, Certified, Registered, Business Reply, and Standard or bulk mailings. For information on location and hours of operation, please visit their website.
Parking
All Mercer employees should have a Mercer parking decal for their vehicles. Parking decals are available at the Mercer Police department on the Macon or Atlanta campuses. Please visit the Mercer Police website for additional information and a map of parking locations on the Macon campus.
Technology Resources
Someone in your department or college/school will submit a request with Mercer’s IT department to set up your IT related access and notify you once that process has been completed. You can explore available technology resources on the IT website.
Time Away From Work
Eligible employees can view the policies related to vacation leave, sick leave, bereavement leave, jury duty leave, military leave and holiday schedules on the Benefits/Payroll website.
Where to Eat on Campus
Mercer’s campuses have some great places to eat whether it be breakfast, lunch or dinner. Employees even have the opportunity to sign up for discounted meal plans that make paying for your meal as easy as the tap of your Bear Card!
